CONSENT STATEMENT FOR COLLECTION AND PROCESSING OF PERSONAL DATA FOR SPECIFIC PURPOSES

Studio Meliora is committed to protecting the personal data and rights of its customers. To comply with applicable personal data protection regulations, each customer must consent to the collection and processing of data for specific purposes. Personal data is collected for carrying out regular school activities and fulfilling all legal and contractual obligations.

1. PURPOSE AND TYPE OF PERSONAL DATA COLLECTION

Studio Meliora collects the following data for the stated purposes:

1. Basic personal data of the individual (name and surname, date of birth, address and place of residence) – this data is collected for basic implementation of regular activities, e.g. enrollment in educational programs, keeping work logs, issuing contracts, certificates, invoices, conducting necessary business correspondence, etc.
2. Additional contact information (phone number and/or mobile number, email address, additional addresses [permanent or temporary residence, etc.]) – this data is used for business correspondence, such as notifying about course progress, communicating about financial obligations, information about important changes and improvements, creating user accounts for accessing the school’s information system, etc.
3. Additional personal data (name and surname of parents or guardians, tax number) – this data is necessary for maintaining mandatory registers for educational programs and for issuing business documents (e.g., certificates of completed courses).
4. Bank account details – this data is used for carrying out financial transactions (e.g., refunds).
5. Data about guardians of minors (guardian’s name and surname, gender, tax number, residential address, contact phone/mobile, contact email) – this data is used for conducting regular business with minors for whom other natural or legal persons are legally responsible.

2. METHOD OF DATA COLLECTION

Studio Meliora collects data in several ways:
● directly on the premises where the activity is carried out,
● by phone,
● via email correspondence,
● through online forms available on official websites.

3. STORAGE OF PERSONAL DATA

Personal data can be stored:
● in physical form (e.g., paper documents, folders),
● in electronic form (in special information systems designed for storing and processing data within Studio Meliora’s operations).
Physical materials are stored in specially designated places with limited access, and only authorized persons properly trained in data protection have access. Electronic data is stored in a secure computer system, and Studio Meliora employees’ access to data is restricted by appropriate user rights, so that each employee has access only to the data necessary for performing their regular tasks.

4. PROTECTION OF PERSONAL DATA

Studio Meliora pays great attention to protecting collected personal data and takes all appropriate measures to prevent unauthorized access to or use of data. All employees at Studio Meliora are required to respect the principles of personal data protection, undergo appropriate training on methods of collecting, processing, and protecting personal data, and sign a written statement on the obligation to protect personal data.
All measures taken by Studio Meliora for the protection of personal data comply with:
● the applicable Personal Data Protection Act (ZVOP) and other regulations in the Republic of Slovenia,
● the General Data Protection Regulation (GDPR).

5. RIGHT TO ACCESS, CORRECT, AND DELETE PERSONAL DATA

Every person has the right to submit a request to the authorized person at Studio Meliora for access to their data, its completion, correction, or deletion, etc. If any personal data is found to be inaccurate, Studio Meliora will update the data upon receiving the individual’s request.
If a person requests the cessation of processing or deletion of personal data, they can notify Studio Meliora employees in writing:
● via email at: info@yms-lj.com (appropriate contact address),
● by mail to: Studio Meliora d.o.o., Rovška cesta 4, 1235 Radomlje, Slovenia,
● by personally delivering a written request at the business premises.
Upon such a request, Studio Meliora will delete the contact phone number, mobile phone number, contact email, and IBAN from the records. All other data necessary for fulfilling business and legal obligations (e.g., issuing certificates of completed courses, etc.) is kept in the archive where required by law. Such data will be used exclusively for legally specified purposes, and Studio Meliora will cease any other processing of this data.

6. DATA PROTECTION BREACH

Any person who believes that their rights, guaranteed in accordance with applicable personal data protection regulations, have been violated, may file a request for determining the violation with the supervisory authority, i.e. with the Information Commissioner in the Republic of Slovenia.

In the event of a possible breach of systems where Studio Meliora’s personal data is stored or in the systems of any of our contractual partners, Studio Meliora will notify all affected persons and competent authorities within 72 hours of the detected violation if it is obvious that personal data, based on which the identity of the data owner can be determined, has been stolen and/or compromised due to the violation.
